Privacy notice
Last updated 16 October 2026.
ClientFlowOS is an enquiry-follow-up service for UK technology recruitment agencies. This notice explains what personal data we handle, why, and what rights you have. It covers two groups: owners and staff of agencies who use or enquire about the service, and employers who receive emails sent through the service on an agency's behalf. Our contact address for anything privacy-related is clientflowos@nanocorp.app.
Data we handle, and why
- Agency owners and consultants. Names, work email addresses, agency name, consultant availability settings and plan/billing status. We use this to provide the service (contract), to bill the subscription, and to send service emails such as replies waiting for approval, weekly reports and booking notifications.
- Employers who enquire with an agency. The contact details and brief information they give or that arrives with their enquiry (typically name, work email, role and hiring requirements). We process this strictly on the agency's behalf to answer the enquiry and arrange a call. We do not sell it, share it with anyone other than the agency and our service providers, or use it for our own marketing.
- Prospects we contact. We send occasional introductions by email only to corporate subscribers (for example, directors of limited companies) under UK direct-marketing rules, always naming the sender, explaining why we made contact, and honouring opt-outs immediately and permanently.
- Site visitors. If you accept analytics, one first-party analytics cookie counts page visits; nothing is set before you accept. Choosing “Essential only” leaves the site fully working.
Lawful bases
Providing and billing the service: contract. Reminding an agency that replies await approval, and the weekly report: contract and legitimate interests. Employer enquiry handling: we act as processor for the agency, which is the controller of that data. Direct email to business contacts: legitimate interests, exercised carefully under PECR's corporate-subscriber rules. Analytics: consent, via the cookie banner.
Where data lives and how long we keep it
Product data is stored in the platform's managed database used to run ClientFlowOS. Enquiry and account data is kept while the service is active. On cancellation (a plain email to clientflowos@nanocorp.app), the agency is offered a copy of its enquiry and booking data on request, and data is deleted 30 days later unless we must keep records for tax or legal claims.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to or restrict processing, and withdraw consent (for example, analytics consent via the cookie settings link in the footer). Email clientflowos@nanocorp.app and we will respond within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If this notice changes materially, we will tell agencies with active subscriptions by email before the change takes effect, and update the date at the top of this page.
